Define the batch and the sample
- Record your SKU, product version, supplier, purchase order, batch quantity and where the products will be checked.
- Provide an approved reference sample, drawing or specification. State the revision date so the inspector does not compare against an older design.
- Agree the number of units to sample and how they are selected. Twenty standard checks in a starting-price package is not an AQL plan, a full-batch inspection or a statistically guaranteed result.
- List any destructive tests, specialist instruments or on-site work separately. Confirm capability and price before sending inventory.
Make each check observable
- Product identity: model, color, size and variation match the order.
- Appearance: scratches, stains, cracks, finish and assembly against your reference.
- Dimensions and weight: specify the measurement method, tolerance and units.
- Basic function: provide the steps and pass/fail criteria; define any power or safety limitations.
- Packaging: count, protection, packaging damage and agreed retail-box contents.
- Labels: use only authorized files; check SKU, barcode readability, placement and label version.
- Evidence: identify the sampled unit, defect location and measurement in photos. Ask for a summary of checked, passed, failed and not-tested items.
Separate the report from release approval
Define critical, major and minor findings with examples before work begins. Do not silently treat missing tests as a pass. Record an exception as accepted, rework required, reinspection required or shipment on hold.
The inspector records findings. You approve acceptance and the next action. A report should identify the batch, checklist revision, sample scope, findings, supporting photos and anything not checked.
What the starting package covers
PrepPort inspection starts from USD 69 for up to 20 standard sample checks; extra checks start from USD 0.30 each. Product type, scope, supplier location, specialist checks and site visits can change the quote.
This is a planning checklist, not a laboratory certificate, product-safety assessment or guarantee of zero defects. Regulatory tests and market-specific certifications need a separate qualified provider. Read the inspection policy.
Next step
Create a free workspace and select product inspection and add the supplier, product reference and checks you need. Review and approve the quote before paid work. You can begin with one batch rather than moving your whole fulfillment operation.
