Product Sourcing RFQ Checklist

Give suppliers enough detail to quote the same product. Keep purchasing approval separate from the first inquiry.

Free guide and worksheet. No account or email needed. Updated 2026-10-03.

Start with the product and commercial basics

  • A product link, drawing or reference photo, plus the features that must match.
  • Variant, material, dimensions and packaging requirements, with revision dates where relevant.
  • Requested quantity, expected reorder volume and target budget with currency.
  • Sample quantity, intended use and required completion date. Do not treat a target date as a supplier commitment.
  • Destination market and any certifications or test reports you need to verify independently.
  • Brand and label authorization for any third-party trademarks.

Compare the supplier's full offer

Ask for MOQ, sample cost, unit-price tiers, tooling, packaging, production lead time, payment terms and the exact delivery basis. Separate product price from sourcing support, inspection, freight and taxes.

Record which supplier identity and documents have been checked. A marketplace badge, screenshot or very low price is not proof of authorized production, product compliance or capacity. Decide whether you need a factory visit, a sample, independent testing or additional verification.

Approve before buying

Keep a written record of the selected supplier, product specification, quantity, purchasing budget, payment schedule and any limitations. Product purchases and third-party costs may need advance funding even though standard inbound receiving does not.

A supplier quotation is not a purchase order. PrepPort sourcing fees are project-specific; there is no universal commission or guaranteed lowest product price. Read the sourcing terms.

Plan quality and fulfillment together

Decide what needs checking before release, how defects will be handled and where the goods go next: storage, FBA prep, wholesale cartons or individual customer orders. Use the same product reference across purchasing, inspection and incoming shipments. You can use an internal SKU generated by the portal rather than supplying your own.

The worksheet is for planning, not an automatic purchase instruction. Begin with a product link and quantity in a free customer workspace; add the remaining detail when it is needed.
